Administrative Specialist
Brillient is seeking an Administrative Assistant to provide administrative support to various project managers. The Administrative Assistant will conduct research, prepare statistical reports, and handle information requests. Will perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
RESPONSIBILITITES
- Assist in responding to inquiries from oversight agencies including OMB, DHS, and Congress.
- Assist in responding to inquiries from internal TSA stakeholders and those external to TSA, including airlines, airports, and security technology industry representatives.
- Coordinate with stakeholders to assist in the preparation of briefings.
- Assist with collecting inputs and with the preparation of reports.
- Assist with the preparation of the Weekly AA Report Executive Summary page.
- Assist with performing quality reviews on Weekly AA Reports focusing on consistency, accuracy, and alignment to leadership needs.
- Assist with developing ad hoc presentations.
- Assist with scheduling and tracking usage of the TSIF briefing, training, and conference rooms.
- Assist with controlling, tracking, and maintaining accountability of audio-visual equipment.
- Assist official TSIF and HQ visitors by providing proper security procedures, directions, and guiding (upon arrival ) individuals to the appropriate locations.
- Assist with the preparation of agendas, meeting minutes or notes, and memorandums.
- Coordinate action items, due dates, correspondence, and other matters.
- Coordinate communications materials: compile and consolidate various responses.
- Assist with tracking, monitoring, and maintaining calendars, and meetings.
- Assist with research and planning for travel arrangements.
- Assist with the management of employee and visitor parking passes.
QUALIFICATIONS
- Bachelor’s degree
- 3 years of related work experience.
- Ability to provide administrative support for executive-level personnel.
- Ability to exercise discretion and good judgement, especially regarding sensitive or confidential matters.
- Proficiency working with MS Office Suite (Word, PowerPoint, Excel, Outlook, Visio, SharePoint, and Project).
- Strong verbal and written communication skills.
- Strong interpersonal skills.
- Ability to work independently.
- Possess US Citizenship.
- Ability to obtain and maintain a Public Trust security clearance.
PREFERRED QUALIFICATIONS
- Experience providing acquisition program management support, acquisition training, or technical writing and editing.
- Possess current TSA badge or Public Trust clearance.
